About the opportunity
We are looking for an Executive Assistant for an Intermediate
level, to join our friendly and supportive team and to help support the
Senior Management on a 12 month parental leave contract.
The Sydney based role is responsible to the Real Estate leadership team in Asia-Pacific. The role primarily assists the Asia-Pacific Real Estate leader, Sub-Area Real Estate Leaders and Sub-Area Design & Construction Leaders with support to the Asia Pacific Lease Administrator.
Your experience in business communication will help you to build effective relationships with important stakeholders and senior leaders. You will have autonomy and clear responsibilities, working in our friendly, collaborative environment. You'll enable efficient operations and allow them to focus on getting the best possible outcomes for the firm by providing secretarial and administrative support.
About you
In your role as an Executive Assistant you will:
- Assist the team with management responsibilities, including following up correspondence, verbal requests, project management
- Manage busy team diaries including organisation and co-ordination of both internal and external meetings including booking venues and equipment, accommodation, catering requirements and arranging presentation material
- Assistance with presentation, proposal and document preparation, correspondence
- Arranging international and interstate travel itineraries and bookings, including visas
- Expense and timesheet management
- Management of team budgets
We are looking for people with the following experience:
- Intermediate level on Word, Excel and PowerPoint
- Ideally experience working in a professional services environment
- Excellent written and verbal communication skills
- Exceptional time management and organisational skills
- A personal obsession with attention to detail and consistency of output
- Experience dealing with confidential and sensitive information
